The Hidden Cost of Manual Bates Labeling

Every discovery production, the same problems drain your team's time and put productions at risk.

    Manual numbering is slow

Paralegals spend hours on repetitive numbering that should take minutes — time that can't be billed.

    Inconsistency across matters

Every attorney has their own format. Every matter is different. Rework piles up and deadlines slip.

    No audit trail

Can you prove who numbered which document, and when? If not, your production may not hold up.

    Deadline bottlenecks

A paralegal out sick, a last-minute document dump — manual processes don't survive high-pressure productions.

    Built for Legal Document Production

Powerful features designed for legal professionals who demand precision, speed, and defensibility.

    Accept Any Discovery Format

PDFs, scans, photos from depositions. Process whatever opposing counsel sends you.

    Firm-Standard Compliance

Custom prefixes, matter numbers, date stamps matching your firm's labeling standards.

    Production-Scale Volume

Process thousands of pages in minutes, not days. Handle full discovery sets with ease.

    Meet Tight Deadlines

Same-day turnaround on urgent productions. Browser-based processing eliminates waiting.

    Audit Trail & Defensibility

    Documents Never Leave Your Device

Everything processes locally in your browser. Files never touch our servers — not even temporarily.

    How It Works

Three simple steps to court-ready documents

    1

    Select Your Production Set

Drag in entire folders or pick files from your device. We accept PDFs, scans, images, and mixed formats.

    2

    Apply Your Firm Standards

Set prefixes, starting numbers, date formats, and positioning to match your labeling protocol.

    3

    Export Court-Ready Documents

Download individually or as a merged exhibit with sequential Bates numbering intact.

    Privacy-First Design

    Built for Attorney-Client Confidentiality

OmniBates is designed so that document contents are processed locally in your browser and are not transmitted to our servers as part of the stamping workflow. This design helps you maintain control over privileged and confidential materials.

    Zero Upload Architecture

Documents are processed entirely in your browser. Files never touch our servers—not even temporarily.

    No Document Retention

Document contents and filenames are never sent to our servers. We keep only account-level usage metadata (prefix, page count, timestamp) for billing and audit.

    Local-Only Processing

All Bates stamping happens on your device using industry-standard PDF libraries. Your data stays yours.

Well suited for privileged documents, work product, and sensitive discovery materials. Document contents are processed in your browser and are not uploaded to OmniBates as part of the stamping workflow, helping you preserve control over confidential materials.

    Frequently Asked Questions

No. OmniBates is designed to process files in your browser; document contents are not uploaded to our servers as part of the stamping workflow. This makes it well suited for privileged materials and sensitive discovery.

Document contents and filenames are never stored — they stay in your browser. Your account stores profile information, subscription/billing data, and per-run usage metadata (the user who ran it, Bates prefix, page count, and timestamp). This metadata is the chain-of-custody record behind the Audit-Ready Run Logs feature; it never includes file contents.

No. When you close the tab, your files are gone from the browser. If you create an account or pay while files are stamped and waiting, a temporary copy may be kept in your own browser's local storage for up to one hour so the download survives sign-in — it is deleted as soon as you download, clear the batch, or close the tab. We never keep file contents or names on our servers.

Yes. Because processing happens locally on your device, there's no risk of privilege waiver through third-party transmission. Your documents remain under your exclusive control at all times.

Supported formats are PDF, Outlook email (.msg), JPG, JPEG, PNG, HEIC, HEIF, WebP, GIF, and BMP. Mixed-format batches are supported.

Absolutely. Set any prefix, starting number, zero-padding, date stamps, and positioning to match your firm's labeling standards.

OmniBates outputs standard PDFs that work seamlessly with Relativity, Concordance, and other major e-discovery platforms.
